Web Directions Conference Pty Ltd (ABN 20 118 802 118) is bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth). The Privacy Act and general law place strict requirements on us to treat any information we hold about you as confidential.

We’re committed to protecting your privacy, and we recognise that you care about the confidentiality and security of the information we hold about you.

This privacy statement explains how we handle and protect your information. It applies to any information you give us:

• when you visit our website
• when you contact us by email, phone or any other correspondence
• when you register for one of our events or use our online ticketing system
• when you attend one of our events

What information do we collect?

When you register for one of our conferences, workshops or other events, or register your interest in hearing about future events, we collect the information we need to do what you’ve asked us to. This may include:

• your name and email address
• your job title and the name of your organisation
• your address and phone number
• any special requirements you have
• your payment card details and billing address

Your name and email address are needed to register. Other details, such as your job title, organisation and phone number, are optional.

How is this information used?

We may use the information we collect to:

• process your order and issue your tax invoice and tickets
• send you information about the event you’ve registered for
• tell you about related upcoming events

Event partners and badge scanning

At our events, partners (sponsors and exhibitors) may scan attendee badges. If you choose to let a partner scan your badge, you authorise us to share your name and email address and, where you’ve provided them, your job title, organisation and phone number with that partner, who may contact you about their products and services.

Letting a partner scan your badge is always your choice, and it isn’t a condition of attending. Nothing is shared with partners who haven’t scanned your badge, and partners don’t receive our attendee list. Some partners are based outside Australia.

AI Engineer events

When you register for an AI Engineer event, you’re asked to acknowledge this notice:

“By registering for this Event, you acknowledge that your registration information (name, email, company, job title, city, and country) will be shared with Software 3.0 Inc., the licensor of the AI Engineer brand, for benchmarking, analytics, and event improvement purposes. Software 3.0 Inc. may also use aggregated, de-identified data for its own business and marketing purposes.”

Software 3.0 Inc. is based in the United States.

Other disclosure to third parties

We use trusted service providers to help run our events and business, including payment processing (Stripe), email delivery (Resend) and cloud hosting (Cloudflare), which hosts our own systems such as our customer relationship management (CRM) system. They handle your information only to provide those services to us. These providers are based in the United States, and your information may be stored or processed outside Australia.

We may also need to disclose your personal information where required by law, or to provide a service you’ve asked for. Otherwise, we don’t disclose your personal information for any other purpose unless you’ve authorised us to.

We never sell your personal information, or receive payment for licensing or disclosing it.

Security

We store the information we collect in secure systems, with access limited to the people who need it to run our events. Our website and registration system use encrypted (HTTPS) connections throughout, including wherever payment details are entered.

Cookies

A cookie is a small text file that a website can send to your browser, which may then store it on your system. You can set your browser to notify you when you receive a cookie, giving you the option of accepting or refusing it.

Our site may from time to time use cookies to:

• measure visitor patterns on our site
• enable commission tracking software to track referrals correctly
